How the Northspire system works

One in-house platform runs the whole pipeline: the ads, the calling, the qualification, the booking, the confirmation and the follow-up. Here is what happens to a lead, step by step, and the numbers we measure ourselves on.

Quick answer: Northspire Agency is a done-for-you appointment-setting service for real estate agents in Canada. We build and run Meta ad campaigns under your name inside your own ad account, a dedicated setter (a Northspire Agency employee who knows your criteria) phones every lead on a dialer we built in-house, qualifies them by phone, books the appointment straight into your calendar and confirms it with a human call before the day. You get a live dashboard with every recording, transcript and outcome. Typically 70 to 80% of the people we book actually show up, and our five strongest accounts run between 75% and 89%.

What happens to a lead

1. The ad runs under your name

We write and design the ads (image, video and our drone-shot Aerial Pin format), build the landing page on your own domain in your own brand colours, and run the campaign inside your Meta ad account. The lead is yours from the first click and is never shared. Every figure you see is reported in Canadian dollars.

2. A person calls, fast

The lead lands on our dialer the moment the form is submitted. Your setter is a Northspire Agency employee, not an outsourced call centre, and is dedicated to your account, so they know your criteria. They call every new lead within minutes between 8am and 6pm Pacific, Monday to Friday, and first thing the next working morning if it arrived overnight or at the weekend. If the lead does not pick up, they try 12 times across 30 days, across different days and times of day, and personalised texts and emails continue for three months after that. Every call is recorded and transcribed.

3. Qualified on your criteria

Buyer or seller, timeline, area, budget or financing position, and whether they are already working with an agent. The answers are written on the appointment record you receive. A lead who is not ready is not booked; the same setter calls them back on their own timeline, whether that is next month or next spring, rather than putting them on your calendar too early.

4. Booked straight into your calendar

We read your Google, Outlook or iCloud calendars for clashes and write the booking into the one you choose. A daily cap stops you being swamped. The lead gets a confirmation and reminders (never more than three texts for one booking) and a link to reschedule under their own name if life gets in the way.

5. Confirmed by a human before the day

Every appointment gets a confirmation call from a person, placed after the booking and at least two hours before it happens. Appointments on the day are worked as their own round at the start of the shift. If the lead cancels, you know, and the slot is worked again. If they do not answer, we keep trying.

6. No-shows are chased, not written off

If a lead does not attend, they get a rebooking link and a recovery sequence, and the outcome is recorded against the appointment. That is why our show rate is a real number rather than a guess.

7. You see everything

Your dashboard shows every appointment, every call recording and transcript, the lead’s own answers, and your monthly numbers. After each appointment you tell us the outcome in a 30-second form (attended, property type, next step). When a lead attends a worthwhile appointment, that outcome is sent back to Meta as a conversion, so the campaign learns which leads actually show up and targets more of them.

We did not bolt this together from rented software. The parts that decide whether an appointment happens are ours, which is why we can change them the week a client needs something different.

  • A multi-line dialer, built in-house on carrier-grade telephony, so setters reach more leads per hour and every call is recorded and transcribed automatically.
  • A confirmations desk that tracks every upcoming appointment, who has rung it, how many times, and what the lead said.
  • Our own booking engine, reading every calendar you hold and writing to exactly one, with a daily cap per agent.
  • AI-assisted text replies, so a lead who texts back at 11pm gets an answer and a person sees it in the morning.
  • A client dashboard with recordings, transcripts, outcomes and reporting in Canadian dollars.
  • Attendance fed back to Meta. When a lead shows up, the ad platform is told, so targeting improves with every appointment that happens.

Frequently asked questions

Do you use AI to call leads?

No. Every call to a lead is made by a person employed by Northspire Agency, and a person confirms every appointment by phone before the day. We use AI only to help write the personalised texts and emails a lead receives between calls, and to transcribe the recorded calls.

Are the leads exclusive?

Yes. The ads run in your name, in your own ad account, and the leads land in your pipeline. They are never shared with or resold to another agent.

How quickly do appointments start?

Ads are live within seven days of signing. A campaign needs its first week or two to learn, and your first booked appointment typically lands within 7 to 14 days of going live. The first closed deals follow in 60 to 120 days, which is why we work on a six-month minimum term. We give you an honest read for your area on the call.

What counts as a qualified appointment?

A booked time on your calendar with a lead who has confirmed by phone, in their own words, whether they are buying or selling, their timeline, their area, and their budget or financing position. Those answers are written on the appointment record you receive.

How is this different from buying leads or software?

You do not get a login and a list. You get an appointment on your calendar, with the lead’s answers attached, confirmed by a person, and a dashboard that shows you every call that led to it.

What does it cost?

Pricing is bespoke. Our service is white-glove and built around each agent, so there is no one-size-fits-all package. The honest way to understand what it would cost for your market is a short call.

What does the ad budget look like?

Ad spend runs inside your own Meta ad account and is separate from our fee. Most agents run $20 to $30 CAD a day.
